Procurement Specialist

Position Location:  Business Affairs

The position reports directly to Assistant Director of Acquisitions & Contracts

Job Summary:

Responsible for making purchases for the College as well as rentals and leases.  Act as the Liaison between the employees of the College and the Vendors of the College. Assist in training users on changes and updates relating to Purchasing. Ellucian/Banner software experience is a plus. Must possess great verbal and written communication skills.  Must be proficient with computer and Microsoft suites.

Education:

Bachelor’s Degree preferred, but experience may be substituted in lieu of degree minimum 3 years’ purchasing experience, Government experience will be preferred.

Full Job Description:

Assist the Assistant Director of Acquisitions and Contracts with Procuring supplies, equipment, rentals, leases and services for the College.  Ensure requisitions are in compliance with the Louisiana Office of State Purchasing Laws and Title 38.

Accuracy in requisitions coding.  Organize and maintain vendor listings, account numbers and College contacts.  Work in close communication with Vendors, the Property Department and Accounts Payable as needed.  Assist in training approved employees on purchasing rules and regulations as well as system and/or policy updates. Maintain files for W-9’s and Professional Service Contracts.  Set up vendors and students in the system as needed.

Liaison between the vendors, receiving departments and accounts payable on purchases that may have been incorrectly ordered or received.  Reconcile outstanding encumbrance balance in purchasing with accounts payable and the general ledger. Establish records of procurement, maintain a file for policies and procedures and be sure they are being adhered to.  Maintain a file for employees with Procurement cards to be sure they are receiving the necessary documentation to perform their requirements in the WORKS system.  Follow all rules and guidelines relating to possessing a Procurement Card.

Supervise the Student-Workers in the department.  Managed the inventory of the bulk supplies ordered for the Business Department.  Performs any other professional duties as requested by the Assistant Directors in the Business Office.

Physical Requirements:

During time of peak times and reporting deadlines, this job may involve extended work hours.  Work days during this time may include nights and weekends. Ability to be able to lift up to 25lbs, ability to perform the following activities minimally up to 10% of the time, Bend; climb; crawl; reach; sit; squatting/kneeling; stand; twist; walk; work above shoulder

Salary: $42,000
