Position: Office Manager
Division: Nursing and Allied Health
Reports To: Dean of Nursing and Allied Health

Position Summary
The Office Manager will interact with students, visitors, partners, and employees at every level, creating an environment focused on Nunez’s Core Values. The Office Manager position demands organizational skills, efficiency, and personability. The incumbent ensures operations run smoothly by handling phone calls, sending emails, overseeing supplies, juggling schedules, and whatever else it takes to keep the department and its people productive. The Office Manager will perform tasks as assigned to support all departments of the college as needed.

Education and Experience Required

  • Earned High School Diploma or Equivalency.
  • 1-year Administrative Assistant experience.

Preferred

  • Associate degree.

Duties and Responsibilities

  • Serves as the receptionist for the nursing and allied health department to include, but not limited to, providing superior customer service, greeting and screening visitors, answering questions, placing work orders, and overseeing the office.
  • Provides clerical support to include, but not limited to composing correspondence, copying, faxing, scanning, emailing, filing, shredding, answering phones, returning calls, and answering emails in a timely manner.
  • Facilitates office efficiency by maintaining appearance of common areas, organizing procedures, handling correspondence, managing filing systems, and overseeing supplies and equipment.
  • Oversees the day-to-day activities of the office as the main point of contact in the reception area, keeping management informed of performance with routine and requested reporting.
  • Provides direct administrative support as needed, including scheduling appointments, meetings, and events.
  • Manages all aspects of the office’s space/infrastructure planning (moves, adds, and changes to workstations) and provides answers, resources, and solutions as requested.
  • Enters requisitions for department, orders and maintains supplies to include, but not limited to entering requisitions and receiving orders.
  • Assists with the planning and executing of any campus events as needed.
  • Assists with coordination of documentation required by accrediting bodies.
  • Develops and maintains a close working relationship with individuals, departments, and organizations on and off campus as it relates to accrediting bodies.
  • Tracks all nursing and allied health student applications and internship/externship documents to assist with clinical placement.
  • Maintains databases for department.
  • Assists with special projects as assigned.
  • Other duties as assigned.

Required Knowledge, Skills and Abilities

  • Proficiency Microsoft Office, with aptitude to learn new software and systems.
  • Experience with Banner and LOLA.
  • Experience with requisitions and purchase orders.
  • Experience with scheduling meetings, creating agendas, and recording minutes.
  • Experience with record keeping.
  • Strong time-management and people skills, flexibility, and multitasking ability.
  • Strong accuracy and attention to detail.
  • Experience navigating Canvas.
  • Higher Education experience particularly with assisting students.
