Nunez Community College is currently seeking an Accounts Payable/Travel Specialist

Reports to: Accounts Payable/Payroll Manager

Job Summary:
Under the supervision of the Accounts Payable (AP)/Payroll Manager, the AP/Travel Specialist will be responsible for the preparation of AP, Travel, and other accounting requests, invoicing, and ensuring that the required supporting documentation is submitted by college personnel. The AP/Travel Specialist will be the lead contact for the new integrated travel system and the primary support to the AP/Payroll Manager to ensure office functions.

Duties and Responsibilities:

  • Prepare and organize invoices and purchase orders while making sure to obtain the required signatures/approvals to make payments in a timely manner.
  • Perform accounts payable duties such as writing up check requests, calling vendors for invoices, work with vendors to correct any discrepancies.
  • Serve as lead contact for the integrated travel system. Serve as cardholder for the CBA account. Responsible for travel arrangements and reimbursements. Provide basic training to college personnel related to the travel system and state travel regulations.
  • Update and maintain travel card system by ensuring each travel transaction has an appropriate business purpose and need for state business purchase, that all approvals were obtained for the purchase, that each transaction has a receipt, appropriate supporting documentation and each transaction’s supporting documentation is scanned into Workflow and tied to each applicable transaction.
  • Assist the AP/Payroll Manager and serve as a backup.
  • Other duties as assigned

Minimum Qualifications:
Associate Degree with 3 years related experience and/or 7 years of proven related work experience.

Preferred Qualifications:
Bachelor’s Degree

Physical Demands:

  • Ability to work in excess of 40 hours a week, which may include nights and weekends.
  • Ability to view a computer screen for long periods of time.
  • Ability to function in a high-pressure, stressful environment and meet stringent deadlines.
  • Ability to operate a computer and standard office equipment.
  • Ability to carry <25 lbs., stand, sit, reach, bend, and climb.
