Position: Registrar
Department: Student Affairs
Reports To: Dean of Strategic Enrollment and Student Success

Position Summary
The Registrar is responsible for the maintenance and security of student academic records, as well as the scheduling of early, regular, and late registration sessions each semester. The Registrar is also charged with the enforcement of the College's academic policies and procedures. The Registrar evaluates the effectiveness of existing policies and procedures and recommends changes. Supervises, trains and evaluates staff responsible for processing and maintaining academic history files and records, transcripts, updating information and furnishing reports.

Duties and Responsibilities

  • Registrar Core Team Lead (data and procedural testing of all functions in the Banner student legacy system)
  • Configure and maintain all forms for Registration each semester (refund tables, registration access, enrollment codes, parts of term for both credit and non-credit/Workforce Development, and setup all forms that control when students can add, drop, and withdraw classes)
  • Enrollment and Degree reporting (National Student Clearinghouse)
    • Add new Programs and Courses in the Banner system and catalog
    • Setup all Workforce classes in the Banner catalog and create course sections in Banner
    • Maintain Course Fee information in the Banner catalog
    • Oversee management and maintenance of the Degree Works audit system.
  • Oversee the Graduation Process (Awarding Degrees, certificates and IBC's)
    • Oversee the Transcript Maintenance and processing
    • Cleanup data and student records
    • Campus Approver for all employees requesting security access to Banner forms
    • Train others on Banner forms
    • Maintain Building and Room information in Banner
    • Participate as a member of the Scholarship Committee by evaluating student scholarship applications
  • Processes purges for non-payment and show/no show for each major part of term
    • Census day processing in Fall, Spring and Summer semesters (Processing for Intersessions done at the end of the term)
    • Attends all required Registrar trainings from the LCTCS System office and shares with appropriate departments
    • Collaborates with Curriculum Committee to maintain accurate program and course requirements
    • Oversees Maintenance and processing of Enrollment and Degree verification
    • Provides directory information to verified third party entities (Military, Police, etc.)
    • Reporting to LOSFA (Grade information, Investigating reported registration errors)
  • Maintain a professional demeanor and excellent customer service throughout all interactions with all students, faculty and staff
  • Answer Main phone line
  • Route callers to appropriate person/office
  • Other duties as assigned

Education and Qualifications

  • Bachelor’s Degree in related field
  • 5 or more years of experience working in a Registrar's Office, an Admissions Office, or related area, in a higher education setting

Preferred Education and Qualifications

  • Master’s degree in related field
  • At least 5 years of experience using Banner Student Management System
  • Experience with Microsoft Suite
  • Experience with WINscp
  • Experience with data extraction
  • Excellent Customer service skills
  • Excellent written and verbal communication skills
  • Attention to Detail
  • Willingness to work with a diverse population
  • Knowledge or FERPA

Physical Demands: When Applicable

  • Ability to work in excess of 40 hours a week, which may include nights and weekends
  • Ability to view a computer screen for long periods of time
  • Ability to function in a high-pressure, stressful environment and meet stringent deadlines
  • Ability to operate a computer and standard office equipment
  • Ability to carry <25 lbs., stand, sit, reach, bend, climb, reach and push/pull.
