Position: Library Aide

Reports to: Head Librarian

Position Summary
The Library Aide reports to the Head Librarian. This position’s primary responsibility is to provide customer service in the circulation and technical services divisions of the library, which entails office management duties, circulating items, providing technical support, instructing student workers, and processing interlibrary loan and newly acquired print items. This position requires participating in annual events for students, a willingness to engage in institutional advancement, continuous improvement through professional development, and working the 10:00 am – 7:00 pm shift on Mondays – Thursdays and the 8:00 am – 12:00 pm time slot on Fridays during normal library hours. The Library Aide must display excellent teamwork, communication skills, and the ability to multitask.

Summary of Duties and Responsibilities

  • Performs information verification tasks using a variety of sources, such as electronic databases, catalogs, indexes, etc. 
  • Interprets and applies library policies for customers
  • Perform serials check-in and claiming
  • Collects and maintains library statistics; produces reports for Head Librarian. 
  • Performs a full range of routine acquisition activities, including ordering, authorizing receipt of shipments of materials, corresponding with vendors regarding claims, processing credits for incomplete or duplicate shipments or damaged items, utilizing the Library Management System for non-receipt of materials, reviewing and certifying accuracy of invoices, and ensuring records accurately reflect state-mandated codes. Provides reference services to customers, such as answering routine requests for information using standard reference sources, explaining proper use of reference tools to patrons, etc. 
  • Maintains the scheduling of all Isleños Museum and Archive events
  • Trains student workers, including assigning tasks, monitoring performance, reviewing procedures, and modeling professional behavior
  • Oversees the distribution of student laptops and maintains an accurate account of their return
  • Processes interlibrary loan items, including requesting, tracking, and receiving borrowed materials from partner libraries
  • Perform other duties as assigned by supervisor or Dean

Minimum Qualifications

Required Education

  • High School Diploma

Required Experience

  • Two (2) years of experience in which clerical work is the primary duty

Allowed Substitutions for the Experience Requirement

  • One (1) year of library clerical work; or
  • At least thirty (30) credit hours earned in a business or a clerical-related program at a college, technical institute or university AND six (6) months of clerical experience; or
  • Completion of an associate’s degree in business or a clerical-related field; or
  • Completion of a bachelor’s degree or higher in any field

Required Knowledge, Skills, and Abilities

  • Proficient in Microsoft 365 and Google Workspace
  • Proficient in using office technologies (i.e., desktop computer, photocopier, scanner, telephone, etc.)
  • Excellent front-line customer service skills
  • Demonstrated ability in maintaining confidentiality and professionalism
  • Ability to support students with digital literacy needs (e.g., file uploads, emails, online forms, etc.) 
  • Demonstrated ability to resolve customer concerns (e.g., addressing noise complaints, study room conflicts, policy questions, etc.) Skill in resolving customer concerns (e.g., addressing noise complaints, study room conflicts, policy questions, etc.)
  • Ability to communicate clearly and professionally

Preferred Qualifications

Education

  • Bachelor’s degree in Library Science or Business Administration

Experience

  • Library setting work experience
  • Library catalogs, databases, discovery systems, and online academic resources experience
  • Library of Congress and Dewey Decimal systems experience
